About Mountain Resort Services

For nearly four decades, Mountain Resort Chauffeur Transportation has provided luxury transportation throughout Jackson Hole and Sun Valley.

The company manages more than 200 weddings each year alongside airport transfers, corporate events, VIP transportation, and guided tours through Yellowstone via its sister company, Great Western Expeditions.

During peak season, the operation may be responsible for six or seven weddings happening simultaneously across multiple venues and vehicle types.

In an environment where wedding planners, DMCs, and corporate coordinators expect flawless execution, operational visibility isn't optional.

It's critical.

Why They Started Looking for Something New

For more than 20 years, the company operated on Limo Anywhere.

Like many successful transportation operators, the software worked well when the business was smaller.

As the operation grew, the team found themselves managing more of the work outside the platform than inside it.

Large weddings became the biggest challenge.

A 200-person wedding might appear in the software as a single reservation while the actual operational details lived elsewhere.

Vehicle assignments.

Driver schedules.

Shuttle movements.

Timing logistics.

All managed through calls, texts, spreadsheets, and tribal knowledge.

As complexity increased, so did the risk.

"In our old system we would take a two hundred person wedding and that is what it would look like in the system. There would not be the details. How many mini coaches. How many SUVs. How it was going to look."

While founder Rob had decades of experience operating this way, his son Joe viewed things differently.

Joe had grown up in the business, but also grew up with modern software.

He believed the company needed tools that matched how they actually operated.

"He was tired of it. He wanted something that was going to be up to date and more like minded with how his brain operates."

After evaluating alternatives, they selected Moovs.

The Migration: Lessons From Switching After 20 Years

Mountain Resort Services migrated to Moovs in May 2025.

Unfortunately, May also happened to be the beginning of wedding season.

The team had already booked much of the summer and needed to rebuild reservations while simultaneously running the business.

For the first month, both systems operated side-by-side.

"For the first month we were using both of them. And it was a challenge. Thank god we made it through that."

Looking back, Rob identifies three lessons for operators considering a software change.

1. Assign One Owner

One person should be responsible for the migration.

Splitting responsibility across multiple busy team members creates confusion and delays.

2. Choose the Right Season

If possible, migrate during slower months.

For Mountain Resort Services, January would have been much easier than May.

3. Commit Fully

Training, onboarding, and implementation support matter.

"I would recommend people go in all the way instead of trying to save a penny or two."

The company operated both systems in parallel during the transition.

Result #1: Peak Wedding Nights Feel Calm

The biggest test of any transportation platform is peak season.

For Mountain Resort Services, that means multiple weddings occurring simultaneously across different venues and vehicle types.

Before Moovs, these nights often required constant coordination.

Today, the team spends far less time tracking down information because everyone already has access to what they need.

"We were able to manage big wedding nights in incredible fashion and very seamless. All of a sudden you look and it is ten pm and you realize it is over. I did not hear from anybody because they had all the information."

When Rob describes success, he doesn't talk about software.

He talks about silence.

No emergency calls.

No confusion.

No dispatch firefighting.

Result #2: Drivers Have Everything They Need

One of the most noticeable changes has been driver communication.

Instead of relying on calls and texts from dispatch, drivers access:

  • Assignments
  • Passenger information
  • Vehicle details
  • Pickup instructions
  • Timing and logistics

directly through the Moovs Driver App.

"All the drivers have everything that they need. It kind of becomes operational by itself."

Less communication overhead means fewer interruptions and fewer opportunities for mistakes.

Result #3: Planners and DMCs Serve Themselves

The company now gives wedding planners, DMCs, and corporate clients access to trip information directly.

Instead of calling the office for updates, clients can:

  • View reservations
  • Check assignments
  • Monitor trip status
  • Access driver information
  • Make updates

"Once they take advantage of that they are doing somersaults they are so happy with their experience."

This improves the customer experience while reducing inbound requests to the operations team.

Planners and coordinators can access trip information without contacting dispatch.

Looking Ahead

Mountain Resort Services is now preparing for its second peak season on Moovs.

Unlike their first season, the team is entering with experience, established workflows, and a much deeper understanding of the platform.

"We are addressing the challenges we had last May so we are better prepared this time."

Advice for Operators Considering a Switch

Rob's recommendations are straightforward:

Growth Eventually Exposes Software Limitations

What works at one stage of the business may not work at the next.

Migrate During Slow Season

Give your team room to focus.

Put One Person in Charge

Ownership drives successful implementations.

The Biggest Wins Are Operational

The value isn't just software.

It's fewer calls, fewer interruptions, and better execution.

Visibility Matters

Drivers, planners, dispatchers, and customers all perform better when everyone can access the same information.
